Overview

Adomo, Inc., a provider of next-generation PBX-independent voice and messaging solutions, was looking for a solution that would alleviate email management tasks, eliminate mailbox quotas, reduce the backup window and completely protect their Exchange server in case of a system crash.

Business Situation

Adomo, Inc. provider of voice messaging and unified communications solutions that enable organizations to more smoothly migrate to VoIP and wireless technologies, was shopping for an email management solution. “I’ve used Backup Exec to perform complete system backups for many years, but never had a 100% comfort level from it,” says Mitul Patel, IT Manager. “I was looking for a solution that would provide seamless access to data as well as perform archiving and recovery. We’ve tried brick-level backups but the impact on the Exchange server and the time it took did not make it a viable solution—we were looking for a complete solution to handle email management, archiving and recovery without any impact on Exchange.”

Adomo’s voice messaging solution transforms voicemail into an efficient and powerful business tool by directing voicemails into users’ email inboxes on their PCs and mobile devices. As such, the company relies on Exchange not only as a primary business application to communicate with customers and partners, but it also relies on Exchange as a key part of its technology development environment. For Adomo, choosing an email archiving and management solution that wouldn’t impact their Exchange environment in any way was a critical selection criteria. In addition, since Adomo has leveraged its own technology to integrate voice messages into its email system, streamlined Exchange storage management was also a significant benefit they were seeking.

NearPoint also allows me to easily and immediately restore Exchange data at the database, mailbox or message level.”

What was the problem?

Besides simply archiving emails, Adomo had other pain points they were looking to solve. The company needed a solution that would track message delivery and receipts, resolve mailbox quota issues and allow mobile users full access to archived data. Once NearPoint was fully deployed, Adomo has had to rely on it a few times to prove messages were sent or received. With NearPoint, auditors can see all details of sent and received messages including when a message was sent, and that it was received.

Mailbox size was also a primary issue. Because the Exchange server was growing each day, Patel was forced to give mailbox quotas with most users getting between 100 – 200 MB per user. However, executives wanted and needed to retain more emails for possible audits which caused their individual mailboxes to grow to over a gigabyte. These huge mailboxes were responsible for long backup times, higher storage costs and a lot of time being spent maintaining the Exchange server.

Solution Found

NearPoint Mailbox Extension allows Adomo to define policies that reduce storage requirements on the Exchange Server but still provide seamless user access to email information. Users enjoy unlimited mailboxes without the storage management burden. And NearPoint’s One Pass Protection archives data in near real-time eliminating the backup window.
