NearPoint for Microsoft Exchange: Email Archiving

NearPoint continuously archives 100% of email data in user mailboxes and public folders and stores it on the NearPoint server. Email from production servers is captured using Mimosa’s One Pass Protection™ approach of capturing Exchange data at the transaction log level with no impact on the Exchange Server. This is in contrast to other approaches that capture email at the SMTP or MAPI level or require use of Exchange Journaling. These approaches impose a huge load on production servers and quite often require a re-architecture of the Exchange Server to support the additional storage and CPU demands.
Legal Discovery
Using Mimosa NearPoint, administrators can create auditor roles to allow immediate search and retrieval across multiple specified mailboxes to support litigation discovery. Email data is indexed, classified and stored in the Indexed Common Object Repository, ensuring powerful search and instantaneous access to vast amounts of historical information. Mimosa performs full-text indexing so that message headers, bodies and attachments can all be searched. Searches can be saved to a mailbox folder or exported as a PST file for disclosure purposes or to aid additional reviewers.

Advanced Search Capability
Powerful search functions allow auditors to look for emails as well as other items including calendar events based on keywords within subject line, message body, and/or attachments. Searching the “From” and “To” fields as well as defining a time period for a search allows for further granularity of detail, increasing the efficiency of the ediscovery process and allowing the ability to recreate a point-in-time view of communications between individuals. NearPoint Advanced Search maintains a similar look and feel to the Outlook Search and Advanced Search capabilities minimizing the learning curve for the auditors.

Compliance
Proper retention and disposition of email is critical when meeting internal corporate policy objectives or external regulations such as Sarbanes-Oxley Act, HIPAA, SEC Rule 17a-4, and Gramm-Leach-Bliley Act. Mimosa NearPoint provides an automated system that enforces retention of email by keeping track of email creation time and applying policies set by the administrator. At the expiration of the retention period email is permanently expunged from the NearPoint server. Retention policies can be set at the mailbox level for all message classes such as messages, appointments, and contacts. In case of an investigation, a “suspend of disposition” can be placed on one or many mailboxes preventing items from being purged until the hold is removed.
