Do you know if sensitive information is stored in SharePoint?
Today I ran across a report from AIIM which says that 18% of the companies that have SharePoint deployed within their organizations do not know if sensitive documents are actually stored within their SharePoint farm. Many people follow widely published SharePoint governance plans however now that SharePoint is getting more traction and more attention these plans are starting to fall short of preventing some issues.
Many administrations actually only at if physical issues with data in their portals without looking closely at how that data got there in the first place. Without knowing how the data gets on the portal, SharePoint will become another dumping ground. The more “junk data” or “electronic waste” gets on the portal the less value the overal solution becomes.
Knowing what is there and how much is there allows the administrator to bring it properly under management, perform data assesment and deploy content archiving strategies by removing data that no longer is active or has lost their importance.
